What we collect when you enquire, book a trial or join, why we need it, and how you stay in control of it.

Last updated 3 November 2026Terms & conditions

In short

  • We only collect what we need to book your trial and run your membership.
  • We never sell your data, and marketing messages are opt-in.
  • Your health details are seen only by you, your coach and our staff.
  • You can ask to see, correct or delete your data at any time.

Who we are

Countdown Fitness runs the gym at Plot no. A1-227, 3rd & 4th floor, Sector 55, Gurugram, Haryana 122011. We decide how your personal data is used, which makes us the “data fiduciary” under India's Digital Personal Data Protection Act, 2023. This policy covers this website, our enquiry and free-trial forms, and your membership with us.

What we collect

When you fill in a form on this site:

  • Your name and mobile number
  • The membership, coach or session pack you're interested in
  • Your preferred day and time for a free trial
  • Anything you choose to write in the message box

When you join:

  • Date of birth, address and an emergency contact
  • A short health declaration (injuries, medical conditions, medication that affects training)
  • A photo for your member record
  • Payment records. Card and UPI details are handled by the bank or payment provider; we don't store them
  • Attendance, freeze dates and personal training sessions used

Automatically: basic technical data such as browser type, device and pages visited, kept in our hosting provider's server logs to keep the site secure and working.

How we use it

  • To call or message you back about an enquiry, and to confirm or change a trial booking
  • To set up and manage your membership, freezes, transfers and coaching sessions
  • To keep you safe while you train, and so your coach can plan around any health condition
  • To send reminders about renewals, payments and changes to gym timings
  • To share offers and events, only if you agree. You can opt out at any time by telling us
  • To meet legal, tax and accounting requirements

Who we share it with

We never sell your personal data. We only share it with:

  • Your assigned coach, for your health declaration and training goals
  • Service providers who work for us, such as payment, SMS/WhatsApp messaging and website hosting, and only for that work
  • Government authorities or courts, when the law requires it

Cookies & storage

This site does not use advertising or tracking cookies. It keeps the plan or coach you pick in your browser's session storage so it can be filled into the enquiry form for you. That stays on your device and is cleared when you close the tab.

How long we keep it

  • Enquiries and trial bookings: up to 12 months if you don't join, then deleted
  • Member records: for as long as you're a member, then as long as tax and accounting laws require
  • Health declarations: deleted when your membership ends, unless we need them for a legal claim

How we protect it

Member records are only available to staff who need them. The website is served over HTTPS and our providers use industry-standard security. No system is completely secure, but if a breach affects your data we will tell you and the Data Protection Board of India as the law requires.

Your rights

Under the DPDP Act, 2023 you can:

  • Ask what personal data we hold about you and how it's used
  • Correct or update anything that's wrong
  • Ask us to delete your data once it's no longer needed for your membership or the law
  • Withdraw consent for marketing at any time
  • Nominate someone to use these rights for you if you're unable to
  • Raise a complaint with us, and if you're not satisfied, with the Data Protection Board of India

Call us or ask at the front desk. We'll reply within 30 days.

Under 18s

Members and trial visitors under 18 need a parent or guardian to fill in the forms and give consent for them. We don't knowingly collect a child's data without it.

Changes to this policy

We may update this policy as our services or the law change. The date at the top shows the latest version, and we'll tell members about any important change.
